Presentation guidelines

Programme

Oral Presentation Guidelines

  • Duration: 12 minutes for your talk, followed by 3 minutes for questions (regular presentations), session keynote presentations are 15 or 30 minutes long.
  • Format: PPT/PPTX (aspect ratio 16:9 preferred), or PDF. Please ensure in advance that any animations or embedded videos function properly.
  • Equipment: Presentations are run on the meeting room computer.
  • Uploading your presentation: Use an USB-drive to upload your presentation with the help of the on-site assistants. Do this well in advance before the start of the session, at the latest by the times indicated below:
    • Morning sessions on Tuesday 13 January: prior to the Opening ceremony (8:30)
    • Afternoon sessions on Tuesday 13 January: prior to the Plenary (13:00)
    • All sessions on Wednesday 14 January: prior to 8:30 Wednesday
    • All sessions on Thursday 15 January: prior to 8:30 on Thursday
  • Use the opportunity to check that everything runs smoothly and looks like it should.

Poster Presentation Guidelines

  • Size & Orientation: Posters must be printed in advance by the presenter in A0 size, portrait orientation.
  • Readability: Please use font size large enough to be read from at least 2 m distance. Recommended font sizes are 90-100 pt for the title, 50-60 pt for headings, and 30-36 pt for the body text.
  • Setup time: Set up your poster primarily before the opening ceremony on Tuesday morning, between 7:30–8:30.
  • Materials: Supplies for mounting posters will be available at the Poster Info Desk.
  • Location: Each poster has a pre-assigned, numbered location. Please consult the overview map in the poster hall to find your spot.
  • Display Period: Posters should remain on display until Thursday afternoon.
  • Poster Sessions:
    • Tuesday: 17:00–19:30 (during the icebreaker event)
    • Wednesday: 17:00–18:00
    • Posters will also be available for viewing during coffee and lunch breaks.
  • Removal time: Posters must be removed by Thursday at 16:00 at the latest. Note: Any posters left behind after this time will be discarded.

Optional ePoster

  • All poster presenters also have the opportunity to submit an ePoster in addition to a printed poster.
  • Poster presenters may upload their poster to the online conference platform’s Poster Gallery as a 1 page PDF file (portrait orientation, max file size 1MB). The poster gallery will be published on 12 January.
  • Further instructions and access link to Oxford Abstracts for uploading the poster file will be sent to the submitter on 2 January (via the Oxford Abstracts system).

Best Poster Award Competition

  • Eligibility: Open to Master’s and PhD students. The presenter must be the first author and a student.
  • Sign-Up: Eligible presenters can sign up for the competition at the Poster Info Desk (near the main registration area).
  • Marking: Competitors will be marked on-site.
  • Announcement: The winner will be announced at the closing ceremony.
